The grant is the easy part. What you promised is the hard part
Track the grants your group applies for, the events it runs and the helpers running them, and give supporters a page to give to an appeal. And the three things that quietly cost money: what an award commits you to after it lands, the Gift Aid on cash nobody wrote down properly, and the award that was promised and never quite turned up.
What's in it
- Chase the quiet ones
- Put in the date the funder said they'd decide. Once it passes with no answer, we flag it as worth chasing.
- What you promised
- Spend-by dates, reports, evidence — the half nobody records, and the half that can mean paying the money back.
- Reminders that don't nag
- An email while something's due within the month, then weekly once it's overdue. Never more often.
- Who's helping
- Stalls and shifts with a headcount, and names against them. Helpers need no account — they're parents, not users.
- A sign-up sheet
- Send parents a link and they put their own names down for a job, seeing how many places are left but never who else signed up. Part of the paid plan.
- The Gift Aid most groups miss
- Cash and contactless at an event can be claimed on. We record what HMRC asks for, including the date it reached the bank.
- Did it actually arrive?
- Record the money coming in and a grant tells you “£3,500 of £4,000 received” — and says so if MORE turns up than expected.
- The record survives
- A decided grant can't be reopened, so next year you can see who said no last time.
- A giving page
- An appeal with a target and a progress bar, to share with parents and supporters. Monthly by Direct Debit or once by card or bank, straight into your own account, with nothing taken.
- Gift Aid on every gift
- Supporters tick a box and give their address; you download a schedule in the columns HMRC's claim spreadsheet uses.
- Free to track
- As many grants and events as you like, free. The giving page and the sign-up sheet are part of the paid plan.
